Payment by Credit Card in QB

Client Payments – Credit Card Already in QB

  1. From the home screen in QuickBooks select Customers
  2. Go to appropriate customers account
  3. Click on the edit button (small pencil on right of customer box)
  4. Click “payment Settings”
  5. Write down or remember the CRV code entered in the “Account No.” box
  6. Click ok
  7. From the home screen in QuickBooks select Customers
  8. Receive Payments
  9. Select the Customer
  10. Enter the amount
  11. Select Payment Method – [pick the credit card type, i.e. Mastercard]
  12. Use todays date
  13. Memo field should match memo field on invoice being paid
  14. If multiple invoices are being paid place each invoice # in memo
  15. Make sure the Process [card] payment when saving radio button is selected
  16. Click [Save & Close]
  17. This will open the QuickBooks payment processor
  18. Confirm all the address information and enter the AVS code
  19. Click [Process Payment]
  20. After a few seconds you will get a conformation window will pop up with an option to print a receipt for the client.
  21. Print the customer only receipt as a .pdf
  22. Click [Save & Close]
  23. Send the pdf to the customer using the “Here your credit card receipt” email template
  24. Go to portal and find the project using the invoice number  XXX-1234-X
  25. In the Journal area click the [+] button and add a journal entry indicating the payment has been received
